Translate PPTs (presentations) using Microsoft 365 built-in Copilot

Passionate about learning partners may often have to look at some foreign language PDF or even PPT, PDF translation is a very mature function, but PPT based on the original format (shapes, tables, charts, notes and other content) direct translation, there is no product can be realized. Now it is here, copilot can directly translate PPT.

Procedure for use


1. After opening a presentation in PowerPoint, select the Home tab from the Ribbon. Copilot Button.

2. Type Translate this presentation in the Prompt field at the bottom of the Copilot pane, and then choose Send.

3. Use the drop-down menu to select the language into which you want to translate the presentation, and then select Translate.

4. Copilot will create a new, translated copy of your presentation. This may take some time to complete. If you are using this feature on Windows or Mac, you will need to save this new copy. On the Web, the new, translated version is automatically saved in the same folder as the original, or in your OneDrive root folder.

caveat

The original copy of the presentation will remain unchanged and only the text content will be translated, including text in text boxes, shapes, SmartArt, tables, speaker notes and comments. Text in media, such as images or videos, will not be translated. Chapter headings will also not be translated.

During this process, Copilot does not make any changes to the slide other than translating the text. For example, it does not mirror the slide layout when translating from right-to-left to left-to-right (and vice versa).

In addition, in some cases, the translated text may be longer than the original text.Copilot does not change the layout or font size to make the new text fit.

Copilot may have difficulty translating some words if the source text is in multiple languages.

Translation of large presentations (e.g., more than 1 million text characters, an excessive number of slides and slide masters, or file sizes larger than 500MB) is not currently supported.

This feature has now been officially released and is being rolled out to all Business Edition copilot for Microsoft 365 subscribers, but this phase will take some time, usually 1-2 weeks.
